Responsibilities and tasks

 

Membership Lead

  1. Serve as the lead support and proactive outreach to PFFA members, including providing information, responding to questions and escalating inquiries or issues as required to the PFFA Board of Directors (BOD).

 

  1. Support PFFA board and leadership in building the membership of the PFFA, including contacting prospective members and retaining existing members. The coordinator post will have its own targets for membership renewal and new member acquisition (20% of weekly working hours).

 

 

  1. Lead communication with members, vendors and other stakeholders about projects, campaigns or events.

 

  1. Lead the PFFA in drafting and circulating member communications, including emails, newsletters and social media posts.

 

 

  1. Administration of an up-to-date membership list, including maintenance of the Charity Engine database, Microsoft 365, Trello and other PFFA systems.

 

  1. Oversee the administration of the Automated Territory Management System (ATMS).

 

  1. As appropriate resolution of member queries relating to the PFFA Code of Conduct, ATMS Rules of Engagement and other issues, or escalation of issues to the BOD as required.

 

  1. Serve as primary lead for PFFA member work group sessions including planning, registration of attendees, preparation of resources and administrative support during sessions.

 

  1. Manage projects and deadlines to ensure projects are finished on time.

 

Administrative support

  1. Administration and coordination of all member projects, campaigns or events.

 

  1. Administration of membership processes including processing of membership forms, creating invoices and provision of information to new and renewing members.

 

  1. Updating of website information and member online resources.

 

  1. Act as the first point of contact for incoming communications from the public, member prospects and all things other than territory related items.

 

  1. As required support for financial processes, including processing of incoming checks and providing required financial information to the bookkeeper and Treasurer.

 

  1. As appropriate, development and implementation of new administrative systems.

 

  1. Collect, organize and share feedback from members and other stakeholders to gauge satisfaction and success of the mission.

 

 

 

Skills, experience and attributes strongly preferred.

 

Skills and experience

  1. High level of discretion for all PFFA members and their proprietary information.

 

  1. Experience in face-to-face fundraising as a fundraiser, logistics coordinator, administrator, recruiter or trainer.

 

  1. Experience of working in the Non-Profit sector.

 

  1. Experience of working in a membership-based organization.

 

  1. Experience in developing and managing a range of administrative systems, including websites, online databases, and financial systems.

 

  1. Experience in supporting diverse stakeholders.

 

  1. Experience in providing administrative support to a small organization, ideally including start up situations.

 

  1. Knowledge of computer systems including MS 365.

 

  1. Basic financial or bookkeeping processes.
